Same Kitchen, Bigger Job: Addressing the PMO Scope vs. Capacity Gap

67% of PMOs expect their scope to grow, but only 40% expect more headcount. Asking a food truck to cater a sit-down wedding leads straight to burnout.

A food truck kitchen can turn out three hundred tacos in an hour. Ask it to cater a sit-down wedding for the same three hundred people—plated courses, a bar, a dessert table—and it falls apart.

Same grill. Completely different job.

That's most PMOs right now.

The Capacity vs. Mandate Gap

Wellingtone's 2026 State of Project Management report found that 67% of PMOs expect their scope and responsibilities to grow this year. However, only 40% expect their headcount to grow with it.

Meanwhile, 72% still spend at least half a day every month manually collating status reports by hand.

The mandate got bigger. The kitchen didn't.

Strategic Partner or Milestone Tracker?

I've run the version where the job title says "strategic partner" while the actual toolkit is a spreadsheet built for tracking milestones, not making decisions. That gap is where good PMO leaders quietly burn out.
